Privacy policy
This policy covers checkbackhq.com, the emails we send and the Checkback service for restaurants. It says what we collect, why, who else sees it and how to have it deleted.
We never sell your information, and we use it only to do the work and bill for it.
What we collect
From you, on the intake form and by email:
- your name, email and mobile number;
- your restaurant's name, location addresses, Google Maps links and website address;
- your answers about access, goals, your restaurant's voice and anything we should never say;
- a Google Drive folder link and the photos in it, if you share one.
We never ask for your passwords.
For billing, Stripe takes your card. We never see or store card numbers. We keep Stripe's records of your plan, payments, billing name and address, and business name.
From your Google Business Profile, only because you gave us access: your profile details, reviews and replies, posts, photos, and the numbers Google reports, like views, calls, direction requests and website clicks.
We also read the public text of the reviews guests leave you, along with the name each reviewer shows publicly, so we can answer them.
When you visit our site, our hosting provider's server logs record your IP address, the page you asked for, your browser type and the time.
How we use it
We use your information to deliver the service: answering reviews, writing and publishing posts, keeping your profile right, and reporting back to you. We also use it to bill you, answer your questions, and keep the records tax law requires. We don't use it to build ad profiles.
Who we share it with
We share information only with the companies that help us do the work, and only what each one needs:
- Stripe, to take payments and work out sales tax;
- Google, to read and publish on your Business Profile, and for the email and file storage where we keep client records;
- our hosting provider, which runs this site and stores intake forms;
- our AI providers, which process review text, your voice answers and your restaurant's facts to help draft replies and posts;
- our email providers, to send and receive email.
We may also share information if the law requires it, to protect our rights or safety, or with a buyer if Checkback is sold. We never sell or rent it.
Google data and Google's Limited Use rules
Checkback's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
In practice, we use Google data only to run the features you see: your reviews, replies, posts, profile and reports. We don't use it for advertising, we don't sell it, and we don't use it to train AI models. A person reads it only to do your work, with your permission, for security, or when the law requires it. You can end our access any time by removing our account from your Business Profile's people and access settings.
How long we keep it
- While you're a client, we keep what we need to do the work.
- After you cancel, we delete your intake answers, voice notes, drafts and photos within 90 days.
- Billing and tax records stay as long as tax law requires, which in Texas is at least four years.
- Server logs are kept for a short time by our hosting provider, then deleted.
- Replies and posts on your profile stay there. They're yours, and you can delete them in your Business Profile.
To have your information deleted sooner, email chris@checkbackhq.com. We'll confirm and delete it within 30 days, except what the law makes us keep.
Your choices
You can ask to see, correct or delete what we hold about you. You can remove our Google access any time, and stop our emails any time. If your state's law gives you more rights, email us and we'll honor them.
How we protect it
Only the people and providers doing your work can reach your information. Our site uses encrypted connections. We work through Manager access you control, and we never hold your passwords. If a breach affects your information, we'll tell you as the law requires.
Cookies and analytics
Our site sets no cookies and runs no analytics or ad trackers. The fonts load from Google Fonts, so Google receives your IP address and browser details when a page loads (see Google's privacy policy). Checkout happens on Stripe's own pages, which use Stripe's cookies. After checkout, the intake page reads Stripe's checkout reference from the web address to match your form to your payment.
Emails we send to restaurants that aren't clients yet
We email restaurant owners and managers about Checkback. We find business contact details in public sources, like Google Maps listings and restaurants' own websites, and through business contact directories. We collect only business details: the restaurant's name, a contact's name and role, and a business email or phone number. Some emails include a free report on a restaurant's Google profile, built from its public Google listing and reviews.
Every one of these emails has an unsubscribe link. You can also reply "stop." We stop that day and keep your address on a do-not-contact list so it stays stopped. To see or delete what we hold, email chris@checkbackhq.com.
Children
Checkback is a service for businesses. It isn't meant for anyone under 18, and we don't knowingly collect information from them. If we learn we have, we delete it.
Changes to this policy
We may update this policy. The date at the bottom shows the latest version. If a change affects how we use your information, we'll email clients before it applies.
